At The Hartman Group we are committed to protecting your privacy in accordance with Title V of the Gramm-Leach-Bliley Act along with the recent HIPAA/HITECH Omnibus Final Rule.  We recognize the importance of protecting the confidentiality and security of the information we collect about individuals. The material below describes our policies concerning the collection, use and disclosure of personal and financial information we receive about individuals who seek to obtain, obtain or have obtained products or services from us. Annual Privacy Notice for Employer Clients

The Hartman Agency has always been committed to providing its clients with outstanding products and services and to respecting the privacy rights of its clients’ employees. This Privacy Notice is provided to you as required by state and federal law. We will be sending you this Notice every year for as long as you are a customer of The Hartman Agency or whenever we change our privacy practices. We do not share any information about former clients.

1.   The Hartman Agency collects nonpublic personal financial information about your employees from the following sources:

  • Information we receive from you and your employees on applications and on other written communications, including social security number, date of birth, marital status, other insurance information and employment information;
  • Information you or your employees provide us by phone or during a meeting;
  • Information about your transactions with us and our affiliates, including insurance coverage for your employees, premiums and employee benefit selection, payment and claims information and all related information.

2.   We collect this information in order to place, service and process your insurance needs and requests.

3.   We disclose the information we collect about your employees to non-affiliated third parties for premium processing, claims processing, reinsurance (if applicable), evaluating requests for coverage and other administrative functions, and as otherwise required by law.

4.   We restrict access to the nonpublic personal information about your employees to those individuals within our agency who need to know that information to provide services to you. These individuals are trained and required to maintain our privacy policies and procedures. We maintain physical, electronic and procedural safeguards that comply with federal regulations to protect the personal information of your employees. Individuals who violate these policies and safeguards are subject to disciplinary action.
